Managing Access to Your Numbers

Managing Access to Your Numbers

If you own a number, you control who else can see it. A number only appears in someone's inbox, and only shows up in their Send from choices, once you have shared it with them. This article covers managing your own numbers. Office Managers can do the same thing on any number in the organization; see Office Manager - Granting Number Access to Your Team.
Idea
True Messaging Plus. Sharing a number with coworkers is a Plus feature. On Standard, each number is visible only to its owner. If your organization is on True Messaging Standard, this feature still shows in the portal but is grayed out with the label This feature is included with True Messaging Plus. Contact your TIPS representative to upgrade.

Opening the access list

In the inbox, find the number in the left-hand numbers panel, select the three-dot menu next to it, then select Manage who can see this number.

Seeing who has access today

The dialog lists everyone who can currently see the number, starting with the owner. The owner cannot be removed. Everyone else has a Remove button next to their name.
Review this list once a term, and any time someone changes roles or leaves. Access does not expire on its own, so a number stays visible to a former front-office aide until somebody takes it away.

Sharing a number with a coworker

Use the Share with someone else search box to find the person, then select Share. You can only pick someone who is already a user in your organization. If they are not in the list, they need an account before they can be given a number, which is an Office Manager task.

Taking access away

Select Remove next to the person's name. They lose the number from their inbox right away. Conversations already in the thread history stay where they are; removing access changes who can see the number from now on and does not erase what was said.

Why can I see this number?

If a number shows up in your inbox and you are not sure why, use the Why can I see this? option in the same three-dot menu. It tells you whether you own the number or somebody shared it with you.
