TIPS Fax Platform

This article goes over how to setup Faxing within the TIPS User Portal. Office Manager is required to set Faxing for their end users. Users that use MFPs or Fax Machines will need an ATA provided by TIPS. Lastly, you can port your existing numbers or use a fax number supplied by us per request.

Setting Up Fax Accounts

TIPS will load any supplied number or ported number into the Domain. The numbers will be available to use once they have been imported. Once complete, navigate to Inventory -> Fax Accounts Sub-tab, to assign the number to Users and define the delivery method.


To start adding Fax Accounts, please follow the steps below:
  1. Click on Add Fax Number
  2. Select a Number within the Phone Number dropdown menu
  3. Primary User - This will assign to any user you have in the TIPS Portal. If you wish to use multiple email addresses, you can create a separate user to point to and assign multiple email addresses to it. 
  4. Enabled Methods (Outbound Faxing) -
    1. Email - This will enable the User to send a Fax using an email address. (This feature is currently disabled but will be implemented in future releases.)
    2. Portal - Messages can be sent via the User Portal (see section 'Sending Faxes via TIPS Portal')
    3. ATA - For traditional faxing, using a MFP or a Fax Machine (when selecting ATA, it will expose a section where you can insert the serial number of the device)
  5. Inbound Fax Methods -
    1. Email w/ Attachment - Will send Fax based off User's Email Address(es). 
    2. Email w/o Attachment - Will send without an attachment. This can be used as a notification tool.
    3. Portal - Will display the inbound Fax within the Portal (see section 'Viewing Inbound Faxes Using TIPS Portal')
    4. ATA - This will allow inbound faxing to an ATA.
  6. Device Type/Serial Number - Insert the Device Model and Serial Number of the ATA provided by TIPS.
Once the Account is created, you will be able to view the Treatment and the Status of ATA (Offline vs Online) -

Sending Faxes via TIPS Portal

To send a fax using the TIPS Portal -
  1. Login to the assigned user
  2. Go to the Fax Tab
  3. Click on Send Fax
  4. Use Browse to select the file you wish to Fax
  5. If the User has Multiple Numbers assigned, select the number you want to send as by selecting the number in the CallerID dropdown menu.
  6. Phone Number - Enter the Phone Number you wish to send the fax to
  7. Add Cover Letter
Once Sent, you can view the Status by selecting Sent under the Inbox Drop Down.

Once it has sent successfully, the Fax will display as downloadable with the date and number of pages.

Viewing Inbound Faxes Using TIPS Portal

To view Inbound Faxes within the Portal -
  1. Login to the assigned user
  2. Go to the Fax Tab
  3. Click on the Download Button to review the Fax (PDF Format).

  4. You can delete the Fax, by selecting the Red X on the right side.
